Step 1 - Identify Security Contacts

The food security initiative in a company is a team effort, requiring the collective efforts of a group of employees, consultants, and public entities.  The TRAP-ITÔ PLANNER prompts you to identify people that are critical to a successful security initiative by defining roles, and asking you to assign people you know to those roles.

In this very first data collection Step, the TRAP-ITÔ PLANNER has identified several key security roles in a drop down menu, and has defined the contact information that you should enter for each contact.  The drop down menu is realistically the people you should be identifying.  The following organization chart identifies the roles, organization structure, and responsibilities of the Security Team.

When am I done with this step?

You have completed this section when you have identified all of your facility Security Contacts that document your Food Security Team.

 

 

Entering Security Contacts Information

Once a list of contacts has been developed, the next step is to enter that information into the   TRAP-ITÔ software.


Adding a new contact:
The information entered for security contacts will be output to Attachment 2 of the Food Products Security Plan.

Security role: Select the appropriate type from the available pull-down list. by clicking on the down arrow.  If none of the predefined types seems appropriate, select the designation 'Other'.

Be aware that multiple contacts can be assigned to the same security role.

Organization: Enter the name of the organization this person is associated with.
Title: The title you enter here could be the person's official title, or it could be their designated title as defined within your Security Plan.
First Name: Enter a first name.
Last Name: Enter a last name.
Phone:
Click each field representing the phone number, extension, and type to complete the phone number.  When the 'Add' button is clicked, the completed information will be saved, and the all the information entered will be displayed together in the field at the top the panel.

Multiple phone numbers can be added for a contact, because it is always a good idea to have more than one contact number available.

Click the 'Remove button to permanently delete the selected phone number.

After all the information for a new contact has been entered, click the 'Save' button to permanently store the data.


Editing contact information:
 
Select a contact if you wish to change or supplement any of the contacts information.  The 'Edit selected contact' tab will automatically be chosen.
When your finished with your edits, click the 'Update' button to record your changes.
If you would like to permanently delete a contact, just click the 'Delete' button.
